What vet scheduling software does

Vet scheduling software puts your appointment book online, so clients can book, move and confirm visits without phoning the front desk. The good systems sync in real time with your practice management system (PIMS), apply your booking rules, and send reminders automatically.

Can my pet fly?

The earliest date your pet can travel, and what to do when.

Question 1 of 7

Where are you travelling?

Countries, not airports — entry rules are set by country.

No sign-up, no email. Answers stay in your browser. Open the full tool

Without it, the cost shows up as hold times, missed calls, no-shows, and receptionists rebuilding the day by hand. With it, the calendar fills itself within the limits you set.

Some appointments need more than an open slot, though. A travel health certificate visit has to land inside a window set by the destination country, after vaccines and treatments that have their own windows. This guide covers what to look for in a vet booking system, the main types on the market, and how to schedule those time-critical visits.

Features that matter in a vet booking system

Real-time, two-way PIMS sync matters more than anything else on this list. If the booking tool reads stale availability or can't write appointments back, you get double bookings and manual re-entry.

Feature

Why it matters

Real-time two-way PIMS sync

Checks the slot is still free at the moment of booking and writes the appointment straight into your calendar

Booking rules by appointment type

Controls who can book what, with which vet, and how long each visit type takes

New vs existing client controls

Lets you limit online booking for new clients, surgeries or complex cases

Automated reminders and confirmations

Cuts no-shows by SMS, email or app

Deposits and online payments

Secures high-value or long appointments

Waitlist and cancellation fill

Moves waiting clients into freed slots

Multi-location support

One booking experience across sites, each keeping its own rules

Intake forms

Collects history, records and reasons for visit before the appointment

Reporting

Shows online share of bookings, no-show rate and peak demand

Intake forms deserve more attention than they usually get. For travel cases, the documents the owner uploads before the visit, such as rabies certificates and microchip records, decide whether the appointment can actually produce a valid certificate.

The three types of veterinary software programs for booking

Most clinics end up with one of three setups. Which suits you depends mainly on the PIMS you already run and how attached you are to it.

Type

How it works

Examples

Best for

Scheduling built into the PIMS

Online booking, reminders and the calendar all live in the practice management system

Covetrus Pulse (scheduling, EMR, reminders and online scheduling in one cloud platform)

Clinics choosing or replacing a PIMS

Booking platform layered on your PIMS

A separate tool syncs with your existing PIMS and handles online booking, reminders and client messages

Vetstoria (integrates with 30+ PIMS; now Vetstoria by PetDesk), PetDesk (supports 25+ PIMS)

Clinics happy with their PIMS but missing good online booking

AI phone answering that books

A voice agent answers calls, reads the PIMS and books into open slots

PupPilot (syncs with Pulse, ezyVet and other PIMS)

Clinics whose clients still mostly phone

Vetstoria and PetDesk are now one group: Vetstoria began using the Vetstoria by PetDesk name in May 2026 and directs US customers to PetDesk. Published pricing is a starting point only. Software Advice lists PetDesk from $249 a month, and Vetstoria's European plans are priced per location by team size.

This isn't a ranked list. Check that any vendor integrates with your exact PIMS version and can write appointments back, not just read availability.

Scheduling travel and health certificate appointments

A travel case usually needs two visits, booked backwards from the departure date. A generic "health certificate, 30 minutes" slot can't capture that. Book the first visit too late, or the second too early, and the certificate fails.

When can the vet issue the health certificate?

These are the windows from Pet Holiday Club's rules base for dogs leaving the US (Italy and Costa Rica routes):

Requirement

Window

Which visit

ISO 11784/11785, 15-digit microchip

Before or on the same day as the rabies vaccination

Visit 1

Rabies vaccination (primary or booster)

At least 30 days before travel; pet at least 12 weeks old

Visit 1

DHPP vaccination

At least 30 days before travel

Visit 1

Parasite treatment (flea, tick, tapeworm)

Within 10 days of travel

Visit 2

Clinical exam and certificate (Costa Rica)

Within the 2 weeks before travel

Visit 2

APHIS endorsement (EU non-commercial certificate)

Within 10 days of arrival in the EU (APHIS)

After visit 2

Set these up in your booking system:

  • A dedicated travel appointment type with a longer duration than a wellness visit, bookable only by existing clients or after a phone check.

  • A required departure date and destination on the booking form, so staff can check the windows before confirming.

  • Document upload at booking. Ask for rabies certificates and the microchip number before visit 1.

  • Linked follow-up. Book visit 2 at the same time as visit 1, counted back from the departure date.

  • Endorsement buffer. Leave time between visit 2 and departure for APHIS endorsement and, where ink is required, the paper copy to come back by mail.

How to choose: questions to ask vendors before you sign

A demo shows the booking screen at its best. These questions show how it will behave in your clinic.

  1. Does it integrate with our exact PIMS and version, and is the sync two-way and real-time? Ask what happens when the PIMS is offline.

  2. Can we set rules per appointment type, vet, species and client status? Test a surgery, a new client and an exotic.

  3. Can booking forms require custom fields and uploads? You need this for travel cases (departure date, destination, rabies certificate).

  4. Can we link appointments? For example, book a second visit at a fixed interval from the first.

  5. What does it cost per location, per vet and per message? Check onboarding, SMS and payment-processing fees, and the contract term.

  6. Who owns the client data, and can we export it if we leave?

  7. What support and onboarding comes with it? Ask for reference clinics on your PIMS.

  8. What do your clinics report for online booking share and no-show rates after six months? Ask for real figures, not marketing ranges.

Run a two-week trial on a single appointment type before switching the whole calendar.

Where Pet Holiday Club fits alongside your booking system

Your vet scheduling software decides when the visit happens. It can't tell you what that visit has to achieve for a dog flying to Costa Rica, or whether the owner's rabies certificate will still be valid on the day.

Pet Holiday Club works out the requirements before the client books:

  • A checklist for the exact route. Requirements are drawn from a curated rules base of around 1,660 rules and matched to origin, destination, species, breed and airline.

  • Lead times you can schedule against. Each vaccine, treatment and exam window is set against the travel date, so you know when visit 1 and visit 2 should fall.

  • Records checked before the appointment. The owner uploads the pet's documents, and the scanner flags gaps against the checklist.

  • Ordered like the journey. Anything that would stop the trip shows first, then medical requirements, documents, travel day and arrival.

The result is fewer travel appointments booked into the wrong window, and fewer visits that end with "come back next week."

FAQ

What is vet scheduling software? Software that lets clients book veterinary appointments online and manages the clinic's calendar, usually synced with the practice management system.

Do I need separate booking software if my PIMS has a calendar? Not always. Some cloud PIMS include online scheduling. A separate booking platform makes sense when your PIMS's own client-facing booking is weak or missing.

How much does veterinary booking software cost? Published prices start around $249 a month for some US platforms, and some European plans are priced per location by team size. Expect extra charges for onboarding, SMS and payments.

Should new clients be able to book online? That's a clinic decision. Most systems let you allow it for simple visit types and require a call for surgery, exotics or travel cases.

How should we book a travel health certificate appointment? As two linked visits, counted back from the departure date, with the destination and documents collected at booking. See the windows table above.
